Problem
The scope of work was extensive, with varying requirements for each day. This included the coordination of an outdoor concert for 5000 people, managing a conference for 600 attendees, setting up an Unconference Outdoor Conference Day for 800 guests, and organizing a Service Day for 50 participants. The challenge lay not only in the scale and diversity of events but also in the meticulous coordination needed with local suppliers, the Botswana Government, and the Forbes team.
Solution
The Event Production Company undertook comprehensive planning, logistic coordination, and on-site management for the entire event. Our solutions included:
Day 1: Coordinated with local suppliers and museum personnel to facilitate registration. Assured technical equipment, internet, and power supply needs were met, and collaborated with the Botswana Government for safety and security.
Orchestrated an outdoor concert, managing staging, technical specifications, and event flow. We also worked closely with the team leads to assure sponsor satisfaction by optimizing foot traffic and exposure.
Set up a VIP area, providing catering, entertainment, and decor for the exclusive guest list.
Day 2: Organized the Summit at the Botswana Digital Innovation Hub. Our team sourced local suppliers for catering, technical equipment, and decor. We also managed guest transfers and VIP services.
Day 3: Set up an open field for an Unconference Outdoor Conference Day and Bush Party, which included a stage, seating areas, and other interactive activities. Safety, security, and VIP guest management were maintained in coordination with the Botswana Government.
Day 4: Managed a Service Day event at the Botswana National Museum. Our team arranged for local suppliers to provide furniture, decor, technical equipment, and authentic Botswana catering.
